Privacy Policy

This Privacy Policy explains how TireTracker, a business based in Texas (“TireTracker,” “we,” “us,” or “our”), handles personal information through the TireTracker website, shop dashboard, technician experience, fleet client portal, and related support services (collectively, the “Service”).
1. Scope and our role
If you are a technician, driver, contact, or fleet customer asking about information a shop placed in TireTracker, contact that shop first. We will assist the shop with a valid request when required.
This Policy does not govern a shop’s independent privacy practices or third-party websites and services that have their own notices.
2. Information we collect
- Account and identity information: names, email addresses, display names, generated technician or portal login IDs, user roles, organization membership, and authentication identifiers. Clerk handles passwords, authentication, and session information on our behalf.
- Shop and subscription information: shop name, business address, phone number, logo, settings, plan, subscription status, and Stripe customer or subscription identifiers. Stripe processes payment-card and billing details; TireTracker does not store complete card numbers.
- Client, driver, and vehicle information: company and contact names, email addresses, phone numbers, service locations, DOT numbers, unit numbers, VINs, license plates, vehicle details, and purchase-order references.
- Service and work-order content: assigned technicians, status, arrival and departure times, mileage and odometer entries, tire positions, sizes, brands, DOT codes, tread depths, pressure, service actions, failure details, notes, photos, and customer names and signatures.
- Support and communications: support messages, email correspondence, service-request notifications, and related delivery information.
- Technical, security, and usage information: IP addresses recorded with certain audit events, browser and device details, request and application logs, feature activity, security events, performance data, and error diagnostics. When an application error occurs, Sentry may receive a privacy-masked session replay; TireTracker configures Sentry not to send default personal information.
- Information stored on your device: theme and demo preferences, onboarding progress, cached technician jobs, in-progress job drafts, and photos waiting to upload may be stored temporarily in browser storage on the device you use.
TireTracker is not designed to collect Social Security numbers, medical records, financial account credentials, or payment-card numbers in service notes or uploads. Please do not enter information that is unnecessary for documenting tire service.

- provide, maintain, secure, and improve the Service;
- authenticate users and apply shop, role, technician, and client access controls;
- create, dispatch, document, search, export, and share authorized service records;
- process subscriptions and provide account and billing support;
- send transactional messages about jobs, service requests, accounts, trials, and support;
- preserve audit records, prevent abuse, troubleshoot errors, and protect users and the Service;
- comply with law, enforce our Terms of Service, and establish or defend legal claims; and
- create aggregated or deidentified information that does not reasonably identify an individual.
5. How we disclose information
- Within the customer account:to the shop’s authorized admins and technicians, and to fleet portal users for records associated with their own company. The shop controls these invitations and assignments.
- Service providers: Clerk (authentication), Neon (database hosting), Cloudflare R2 (photo and signature storage), Stripe (subscription billing), Resend (transactional email), Sentry (error and performance monitoring), Upstash (rate limiting), and Vercel (application hosting and logs). These providers process information to perform services for us under their own contractual and privacy terms.
- At a customer’s direction: when an authorized user exports, prints, emails, or otherwise chooses to disclose a record.
- Legal and safety reasons: when we reasonably believe disclosure is required by law, legal process, or a valid government request, or is necessary to protect rights, safety, security, users, or the Service.
- Business changes: in connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections and applicable law.
6. No sale of personal information or targeted advertising
7. Cookies, browser storage, and tracking choices
We do not use third-party advertising cookies or track your activity across unrelated websites for advertising. Because the Service does not perform that cross-site advertising tracking, browser “Do Not Track” signals do not change how the Service operates. Where legally required, we will honor recognized opt-out preference signals for any processing subject to such a signal.
Blocking necessary cookies or clearing browser storage may sign you out, remove preferences or unsynced drafts, and prevent parts of the Service from working correctly.
8. Data retention and deletion
- Service records, clients, vehicles, and their photos that a shop deletes are normally soft-deleted first and permanently removed after approximately 30 days, subject to restoration, legal holds, dependencies, and backup cycles.
- Job photos are scheduled for deletion after approximately three years, then removed through the normal deletion cycle. Signatures and the written service record may be retained with the record for its useful life unless the account owner deletes the record or requests account deletion.
- Account, subscription, support, audit, and security records may be retained after an account closes when reasonably necessary for legal, fraud-prevention, accounting, dispute, and security purposes.
- Drafts, cached jobs, and queued uploads stored on a user’s device remain under that device and browser’s control until they synchronize, are replaced, are cleared by the app, or the user clears browser data.

10. Your privacy rights and choices
Submit a request by emailing Tiretrackertechnician@gmail.com with the subject “Privacy Request,” or, if you have a shop account, through the support form in Shop Settings. Describe the right you want to exercise and the account or shop involved. Do not send a password, payment-card number, government ID, or other unnecessary sensitive information by email.
We may need to verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct identity confirmation. If we deny a request, you may appeal by replying to the decision or emailing the same address with the subject “Privacy Appeal.” We will respond within the time required by applicable law.
When TireTracker holds information only on behalf of a shop, we may refer the request to that shop and help it respond. Shops can also correct much of their account and service information, delete supported records, and export service history from within the Service.
